How to import the directory in MS Excel
This short manual describes how to export the directory data from CD and import it in Microsoft Excel.
The CD contains a complete directory which can be used to import it
directly in MS Excel. The process is almost the same for any other
spreadsheet application. Usually the values suggested by the
application are correct. Anyway, a manual step-by-step check is helpful
the first time this function will be used. And later in case the
result is not as expected (e.g. broken characters) the default settings can be double-checked.
Function "Import external data" in Excel
- Start MS Excel.
- Decide whether to import the data into...
- ... a new sheet.
- ... an existing sheet (in this case please open it now).
- Goto menu "Data".
- Choose function "Import External Data".
Select data source
- You can find all available data sources on the CD in the folder "Files".
- The data sources are text files, displayed as shown in the screenshot or sometimes with ending .txt.
- Choose the source (file) you need and click on "Open".
Text import wizard step 1 / 3
The Text Import Wizard opens and the following settings should be made:
- "Delimited" = special character will be used as separator.
- "Start import at row"...
- row = column header is included (default).
- row = column header is not included.
- "File origin": UTF-8 (Unicode).
- Confirm this step by clicking on "Next >".
Text import wizard step 2 / 3
- The separator we use is the Tab.
- We don't use text qualifier ==> select "none".
- Confirm this step by clicking on "Next >".
Text import wizard step 3 / 3
- As "Column data format" you should keep "General". Then all columns will get the right data format.
- Confirm this step by clicking on "Finish".
Target
- Here you can define where the imported data should be placed:
- "Existing worksheet": Be careful if you already have data in it and select the place accordingly.
- "New worksheet"
Result
Here is a sample how it should look like:
- The columns are correct.
- Chinese characters are not broken.
